Forms help you seamlessly gather customer information and streamline business operations.


Insighto.ai lets you create two types of forms:


  • Simple forms: Displayed in the traditional label & field boxes format.



  • Natural forms is designed to help users collect data more effectively and conversationally. It uses AI to dynamically guide conversations and gather structured information from customers. (Trigger instruction not required). Once the form is connected to the assistant, specify the questions in the prompt that correspond to the form fields you want to capture.
    For Example: If you have created a form to capture Name & Email of the customer then you should add this question in your Assistant prompt
    Can you please help me with your Name?
    Can you please spell out your Email Address?

 After the conversation is completed, the form gets populated with the respective details captured during the conversation

Here are the steps to follow to create a form:


  1. Go to the "AI Agents" on the Insighto.ai dashboard and click on "Forms". Click on "Add a form"
     

  2. Select the type of form you prefer: Simple or Natural.


Next, fill out the following details:

Name of the form: Assign a descriptive name to your form.

Trigger instructions (Required only for Simple form): Specify when the form should appear during conversations. For example, if you want the form to pop during conversation when the user shows interest in a property then you have to mention it like this " trigger this form when the user searches or shows interest in a property" 


Label for Submit button on Form: Define the text displayed on the Submit button. You can define this text based on your requirement.

4.      Now we will define the fields that we want to capture in that form.

Choose the type of field from the available options: Text, Date picker, Checkbox, Select options, and Text area.

  • Text Field: Allows users to input textual information such as their name, email, or any other details.


  • Date Picker: Enables users to select a date from a calendar widget, often used for scheduling appointments or events.


  • Checkbox: Provides users with options to select one or more items from a predefined list.


  • Text Area: Offers a larger input field for users to provide longer text entries or comments, useful for capturing detailed information or feedback.
  • Telephone: Allows users to input their phone numbers along with country code


For example, if you select "Text,"

Name: Defining form fields for the backend, avoid using spaces in field names. For example, if you want to capture a user's full name, use 'FullName' or 'full_name' instead of 'Full Name'. 

Description: This text appears in the form field to guide users on what information they need to enter.

Label: This is the name of the field that appears on the form, allowing spaces for better readability.

Required: Check mark this box if you want user to mandatorily fill that field while submitting the form. For example, " If you want user to submit their name mark that field as required.

Check the real-time outcome by clicking "Add Field." You can edit the created field by hovering over to right side and click on field to update or delete the field as shown below


Make any necessary adjustments and click "Create Form" to finalize the process.

You can also send them a confirmation message to follow up with customers on WhatsApp or SMS after they fill out the form.


5. After creating your form, navigate to the AI Agents > Assistants tab. Assuming you've already created your Assistant, proceed to the specific Assistant and click "Edit Assistant" under the Operations tab



6. Go to the Forms section click on “Assign Forms” prompt . Select the form by clicking on the checkbox. Your form is now successfully linked to your Assistant.


7. Few more options after form is created

  • Get Form ID
  • Connect tools with form
  • Edit Form
  • Create a contact after the form is filled
  • Delete the form
